Purpose
For Council to consider the extension of Contract No. 21/3092 - Fleet Repairs,
Maintenance and Supply of Spare Parts, for a one-year period.
Officer Recommendation
That Council:
a. Approves extension of Contract No. 21/3092 - Fleet Repairs, Maintenance
and Supply of Spare Parts for a period of one year to 21 December 2025,
in accordance with the tendered Schedules of Rates, at Confidential
Attachment 1 to this report, for an estimated contract value of $606,850
(including GST), to a panel of contractors comprising:

Background
Council, at its Meeting 14 December 2021, awarded Contract No. 21/3092 - Fleet
Repairs, Maintenance and Supply of Spare Parts (Contract) for three (3) years with the
option to extend up to two (2) further one (1) year periods at the discretion of Council
and subject to satisfactory performance over the initial period.
Contract No. 21/3092 - Fleet Repairs, Maintenance and Supply of Spare Parts (Contract)
is a Schedule of Rates Contract and forms part of the Operational Program funded
through Council’s annual Operational Budget.
The Contract engages a panel of service providers and suppliers to provide panel repairs,
compactor repairs and maintenance, auto electrical repairs, mower repairs and
maintenance and supply of spare parts and lubricants for its entire fleet.

The initial term of the Contract is due to expire on 21 December 2024, with one (1) year
extension option remaining.
This report recommends exercising the option to extend the Contract for a one (1) year
period to 21 December 2025.
Matters for Consideration
This report is presented to Council to consider the Contract extension assessment and
recommendation to extend the Contract for a further one (1) year period and assign the
Chief Executive Officer delegated authority to approve the remaining one (1) year
Contract extension option, subject to the performance and competitive pricing of the
contractor.

Implementation
Subject to Council approval, the Contract will be extended for a one year from
21 December 2024 to 21 December 2025.
Community Engagement
Not applicable. No community engagement required.
Consultation was undertaken with relevant Council departments to ensure the
Contract services align with, and best support community users and meet Council’s
requirements.
Collaboration
There was no need or opportunities for collaboration with other Councils or public bodies
for this Contract extension.
Resource And Risk Implications
The funding requirements for the period 1 July 2024 to 20 December 2024 has been
included in the draft 2024/2025 budget for consideration.
The funding requirements for the extension period 21 December 2024 to 30 June 2025
has been included in the draft 2024/2025 annual budget process for consideration.
The funding requirements for the extension period 1 July 2025 to 21 December 2025 will
be referred to the 2025/2026 annual budget process for consideration.
